ininvoice and Business Central: matching invoices with purchase orders and delivery notes before posting

ininvoice does not have a native connector with Microsoft Dynamics 365 Business Central today: it reads invoices, purchase orders and delivery notes as documents, checks every line against what was ordered and what was received, and hands the approved invoices over as an Excel or CSV file that is imported into Business Central. Its contribution is in the part that most often stays half-done in mid-sized companies: the delivery note.

The delivery note, the missing piece

In many companies on a mid-range ERP, the purchase order is in the system but the receipt is not: the delivery note is signed at the dock, stays in the warehouse and is recorded days later, or never. When the invoice arrives, the ERP can compare it with the purchase order but does not know whether what was invoiced arrived. ininvoice reads the delivery note itself, also as a photo or scan, and uses its quantity for each line.

A partial delivery, step by step (synthetic data)

Purchase order, delivery notes and invoices are made up for the example.

Purchase order for 1,000 metres of cable at EUR 1.35/m. Two deliveries arrive, of 600 and 400 metres, each with its delivery note, and the supplier issues two invoices.

MomentReceivedInvoicedResult in ininvoice
Delivery note 1 and invoice 1600 m600 m × EUR 1.35 = EUR 810.00Matches; 400 m remain open on the order
Delivery note 2 and invoice 2400 m450 m × EUR 1.35 = EUR 607.50Held: 50 m over-invoiced, EUR 67.50

Invoice 1 is exported for Business Central. Invoice 2 stays held until a person decides: ask for a EUR 67.50 credit note, or approve it if the supplier proves a third delivery. Compared with the full order (1,000 m), invoice 2 would have passed.

The flow with Business Central

  1. Supplier invoices and delivery notes arrive in the mailbox connected to ininvoice (read-only) or are uploaded by hand; purchase orders, as PDF or spreadsheet.
  2. ininvoice assigns each invoice to its entity by the recipient's tax ID, reads it line by line and matches it with purchase order and delivery note.
  3. What does not match is decided by a person from the dashboard: approve, reject or ask for clarification.
  4. Approved invoices are exported to Excel, with the columns you choose, or to CSV.
  5. The file is imported into Business Central, where it is posted and paid.

When you do not need ininvoice with Business Central

If in your Business Central supplier invoices already arrive as structured data, every receipt is recorded the same day and line-by-line matching with purchase order and receipt already works in the ERP, ininvoice would add little. It makes sense when invoices arrive as PDF, delivery notes stay on paper or the line-by-line check is done by hand today.

Does ininvoice have a native Business Central connector?

No. ininvoice does not have a native connector with Microsoft Dynamics 365 Business Central today. It reads and matches invoices before Business Central and hands the approved ones over as Excel or CSV to import.

In the Excel export, yes: you choose the columns you need. The CSV export has a fixed layout, one row per invoice line.

When does ininvoice make no sense with Business Central?
