Large companies
Accounts payable software for large companies and groups of companies
Accounts payable software for large companies has to do three things a small-business tool does not: assign each invoice to the right company in the group, match tens of thousands of invoices against their orders and delivery notes without the team growing at the same pace, and make sure no invoice is paid without a person approving it. ininvoice is built for that case.
Where the manual process breaks above 10,000 invoices a year
| Step | What breaks with volume | What ininvoice does |
|---|---|---|
| Intake | Shared mailboxes mixing invoices for several companies | Assigns each invoice to its company by the recipient's tax ID |
| Matching | Only the total is compared | Matches every line with order and delivery note, pre-tax, and computes the difference in euros |
| Partial deliveries | Nobody knows what is received and what is already invoiced | Tracks received and invoiced quantities per order line |
| Exceptions | Everything looks urgent | Only non-matching invoices reach a person, with reason and amount |
| Approval | "Can you approve this?" e-mails with no trail | Approve, reject or ask for clarification from the dashboard; no invoice approves itself |
| Duplicates | The same invoice arrives twice | Same number and supplier, same document, same amount on nearby dates |
Volume: what to measure in any tool
What matters is not how many invoices a tool reads per hour but how many end up with a person, and why. Ask to see the exception queue with your own documents.
Tolerances set by finance
The default tolerance is €1.50 and 2 % per line, pre-tax: a line is flagged as soon as it exceeds either limit. The tolerance is configurable. The formulas are in the guide to price and quantity variance in three-way matching.

ERP and e-invoicing
ininvoice does not replace the ERP or make payments. From 6 October 2027, companies in Spain with a turnover above 8 million euros must receive e-invoices and report acceptance, rejection and payment within four calendar days excluding weekends and national holidays (Royal Decree 238/2026). ininvoice reads PDF and image today; structured e-invoice reading is in development.
Price
ininvoice does not publish prices: it sends a tailored proposal within 48 hours of seeing your invoices (annual volume, companies and ERP), with no implementation fee, an annual contract and payment by bank transfer against invoice. You can first run a trial with your own invoices.
When ininvoice is not the best option
- You want purchasing, catalogues, contracts and payments in one suite: a global source-to-pay platform fits better (see comparisons).
- Most of your invoices are services with no order or delivery note.
- You need to receive structured e-invoices at scale today.

Frequently asked questions
From what volume does it make sense?
When most supplier invoices carry a purchase order and a delivery note and the team can no longer match them all line by line. In practice, from around 10,000 invoices a year, or from two or more companies that share suppliers.
Do we need to change ERP?
No. ininvoice checks the invoice before it reaches accounting. Orders and delivery notes come in as documents, like the invoices, and validated invoices are exported as CSV or Excel importable into the ERP.
Can an invoice be approved without anyone seeing it?
No. In ininvoice approval is always given by a person from the dashboard: approve, reject or ask the supplier for clarification.
What happens to an invoice addressed to a company that is not ours?
If the recipient tax ID matches none of the group's companies, the invoice is not assigned to any of them: it stays pending for a person to decide. The system never sends it to a company by default.
How do we start?
With one pilot company and one month of real invoices, orders and delivery notes, to see what matches without intervention and how much money sits in the exceptions.
