Accounts payable for groups of companies

Pay only for what you ordered, only for what you received.

Purchase order, delivery note, invoice. If they don't match, it doesn't get paid. Across every company in your group.

Product

Every invoice, checked before you pay it. Your team stops matching lines by hand and spends its time on the invoices that do not match, with the exact amount of each variance in front of them.

If your invoices arrive as PDFs, scans or photos, they all end up in the same place.

ininvoice reads every supplier invoice from the mailbox, with read-only access, or by manual upload, with no per-supplier templates, and extracts every line: description, quantity, price and tax.

  • PDF, image, scan or photo.
  • No templates: it also works with the supplier who started last week.
  • Reading XML e-invoices is in development.

How invoices are read

If the total matches but one line does not, you see it before you pay.

ininvoice matches every invoice line against its purchase order and delivery note, at the pre-tax unit price, handling partial deliveries, grouped invoices, credit notes and rebates, and gives you the price variance and the quantity variance in euros.

  • Configurable tolerance: by default, €1.50 or 2% per line.
  • Price variance and quantity variance, separately.
  • A line with no delivery note is flagged.

Three-way matching, step by step

If an invoice does not match, a person decides, with the reason in front of them.

From the dashboard, a person approves the invoice, rejects it or asks the supplier for clarification. Every decision is kept in the invoice history, and the history exports to Excel for audit.

  • Approve, reject or ask for clarification.
  • A history for every invoice, exportable to Excel.
  • Possible duplicates held with their reason before payment.

Invoice approval

If your group has several companies, each invoice goes to its own.

ininvoice assigns every invoice to the company whose tax ID appears as the recipient, and never matches one company's purchase order with another company's invoice, even when the supplier and the items are the same.

  • Assignment by the recipient's tax ID, never by default.
  • Invoices between companies of the group, flagged as intragroup.
  • A doubtful tax ID sends the invoice to review; it is never discarded.

How each invoice is assigned to its company

Whatever your ERP, ininvoice works before it.

ininvoice does not replace the ERP or make payments: it exports validated invoices as CSV or Excel, with the company's tax ID and name on every row, for import with the ERP's usual import tool.

  • No native connector and no integration project.
  • One row per invoice line, with 27 columns.
  • Posting and payment stay in your ERP.

Groups of companies

If you receive thousands of invoices for several companies, the costly mistake is the wrong company. ininvoice first works out which company each invoice belongs to, then matches it against that company's purchase orders and delivery notes.

ininvoice is Spanish accounts payable software for companies and groups that receive 10,000 to more than 100,000 supplier invoices a year: it matches every invoice against its purchase order and delivery note, line by line, assigns it to its company by the recipient's tax ID and shows you the difference in euros before you pay.

  • The company comes from the recipient's tax ID; if nothing decides it, the invoice waits for assignment.
  • One company's purchase order is never matched with another company's invoice.
  • The export carries the company's tax ID and name on every row.

Answers by · Published 15 March 2026 · Updated 25 October 2026

How do I know if ininvoice is the right fit for my company?

Start with the guide to choosing AP automation software: criteria for ingestion, matching, integrations and pricing. It works to evaluate any vendor, not just ininvoice.

Is my data secure?

Yes. ininvoice is GDPR compliant and stores all data on European servers (Frankfurt, Germany), encrypted at rest with AES-256 and in transit with TLS 1.2+. We never modify or delete any messages. Access is protected through authentication and account-level access controls. Users must keep their credentials confidential and notify us if they suspect unauthorized access.

What happens if an invoice has no purchase order?

The invoice is logged with the status "awaiting PO". You can upload the purchase order manually or wait for it to arrive in your inbox. As soon as ininvoice detects the matching PO, it cross-checks it against the invoice and produces the reconciliation result.

What if there is a small price difference?

ininvoice applies a configurable tolerance margin (by default 2% or EUR 1.50 per line: exceeding either threshold is enough). If the line variance between invoice and PO sits within that margin, the line is marked as matched. A variance alert is only raised when the difference exceeds the defined tolerance. Formula: variance = (invoice_price − po_price) × invoiced_quantity.

How do you detect duplicate invoices?

ininvoice holds an invoice as a possible duplicate when the same normalised invoice number arrives from the same supplier, or when the amount and the date match those of another invoice. The invoice is held for a person to decide before it is approved. The same file (by its SHA-256 hash) is never processed twice.

Do I have to change the way I work?

No, nothing changes on your side. Your suppliers keep sending invoices to the same email address as always. ininvoice connects to your inbox and collects the documents automatically. The only difference is that you no longer reconcile invoices by hand: the system does it for you every 30 minutes.

How long is the contract?

ininvoice is contracted under an annual contract, set out in the tailored proposal you receive within 48 hours of us seeing your invoices; the proposal states the term and how it ends. When the contract ends, your data is kept for 30 days so you can export it, then it is deleted unless a legal retention obligation applies.
